How to catch up on email after vacation

Updated

Short answer: Start with the people, not the pile. Search for unread mail sent to you since you left (to:me is:unread after: the date you left), star what needs a reply, mark the rest as read or archive it in bulk, and answer the starred ones, those waiting longest first. Tell anyone you can't answer today when you will. Next time, set Gmail's vacation responder before you go.

The first morning back is when the inbox looks worst and matters least: most of it is newsletters, notifications and threads that sorted themselves out while you were gone. The few emails that still need you are in there somewhere, and finding them first is the whole job.

Before you go: the vacation responder

In Gmail on a computer, go to Settings → See all settings → General → Vacation responder, turn it on, set the first and last day, and write a short message: when you're back, and who to contact in the meantime. You can send it only to people in your contacts. Gmail sends it once to each person, then again if they write after four days, and not to spam or mailing lists.

A vacation reply

Thanks for your email. I'm away until Monday the 27th with little access to email. For anything about the pilot, Maya Chen (maya@northwind.example) can help.

Day one back: find who's waiting

  1. Search for unread mail sent to you since the day you left, with the searches below.
  2. Star every email that needs a reply. Don't answer yet: sorting first is faster.
  3. Clear the rest: tick the box at the top to select all, use the link Gmail offers to select every conversation that matches, then Mark as read or archive.
  4. Answer the starred ones, the people who have waited longest first.

is:starred

Then Slack

In Slack, start with your mentions in Activity and your direct messages, then Unreads for the channels. On paid plans, Slack's AI can summarize the channels you missed, which is faster than scrolling back through two weeks.

Tell people where things stand

You won't answer everyone on day one, and you don't need to. A short note to the people waiting on something bigger takes the pressure off both of you.

A first-day note

Hi Priya, I'm back today and working through email. I'll have the contract notes to you by Thursday. Alex

Questions people ask

How do I find emails since a certain date in Gmail?

Search with after: and the date, like after:2026/10/12. Add is:unread for only unread mail, or to:me for mail addressed to you.

Does Gmail's vacation responder reply to every email?

It replies once to each person, again if they write after four days, and never to mail that goes to spam or comes through a mailing list. You can limit it to people in your contacts.

How do I mark all emails as read in Gmail?

Tick the box at the top left to select the page, choose the link to select every conversation, then click Mark as read. A search first lets you do it for just the mail you don't need.
