How to get action items from Zoom and Google Meet into your to-do list
Updated
Short answer: Turn on Zoom’s AI meeting summary or Google Meet’s “Take notes for me”, and each sends notes with next steps after the meeting. Zoom Tasks can turn the summary’s next steps into tasks, and Meet can export action items to Google Tasks on eligible work accounts. Either way, read the next steps the same day, keep the ones that are yours, and put each where you look every day, with a date.
Both Zoom and Google Meet will now take notes for you, and both pull out next steps. The step that still fails is the one after: the notes sit in an email or a Google Doc, and the next steps in them never reach the list you actually work from.
Zoom: the meeting summary
- In the meeting, the host clicks Zoom AI, ticks Meeting summary and clicks Start Zoom AI. It can also be set to start on its own when meetings start.
- The default template gives a quick recap, next steps and a summary; a Next steps template recaps just the action items.
- The summary arrives by email and on the Summaries page of Zoom’s web portal, and in the meeting’s chat if continuous meeting chat is on. A setting decides who gets it, from only the host to every invitee.
- Zoom renamed this in 2026: what was called AI Companion is now simply the meeting summary, and Zoom’s help pages say Zoom AI.
Zoom Tasks takes it a step further: recommended tasks appear under the summary’s next steps and in Tasks → Recommended, where you add an assignee and click Accept, and an admin can have them created and assigned automatically. Zoom’s help pages list a paid Zoom Workplace plan for these features.
Google Meet: Take notes for me
- Click Take notes for me at the top right, then Start taking notes, or have the organizer turn on Take notes with Gemini in the Calendar event.
- The notes have a summary, decisions, next steps and details, and the next steps say who each one is assigned to.
- They’re saved as a Google Doc in the organizer’s Drive, attached to the Calendar event, and emailed to the organizer, who can choose to share them with guests.
- It’s in Google Workspace Business Standard and above, not Business Starter. On personal accounts, Google AI Pro and Ultra subscribers can use it in meetings they host.
New in October 2026: after a meeting, Meet’s post-meeting screen can offer to export action items to Google Tasks, on eligible work and school accounts, when Take notes for me and Ask Gemini were on during the meeting. Google notes the suggestions might not appear for every meeting.
Make the next steps yours
- Read the next steps the same day, while you remember the meeting. AI notes can credit a task to the wrong person; it’s easiest to fix now.
- Keep the ones that are yours. The ones that are someone else’s are things you’re waiting on: note those too.
- Give each a date, and put it where you look every day, not in the email with the notes.
- When it’s done, tell the person. That’s what they’ll remember.
Next steps in the notes: • Alex to send the onboarding checklist • Priya to share the security questionnaire • Team to pick a pilot start date On Alex’s list: Send Priya the onboarding checklist, Thursday Waiting on Priya: the security questionnaire, check Monday
And Microsoft Teams?
Teams’ intelligent recap lists AI-generated notes and follow-up tasks, with who they’re assigned to, for meetings that were transcribed, with Teams Premium or a Microsoft Copilot license. The same advice applies: move the tasks that are yours into your own list.
