How to remember to reply to emails

Updated

Short answer: Decide when you read it: if a reply takes under two minutes, send it now; if not, mark it in a way that brings it back (snooze it to a time, or star it) instead of leaving it read. Then turn on Gmail’s “Suggest emails to reply to” nudge, and check your starred or snoozed mail at two set times a day.

Why do you forget to reply to emails?

Because reading an email feels like dealing with it. Once it’s read, it looks like every other read email, newer mail pushes it down, and nothing brings it back. Marking it unread again helps until you open it by accident. The fix isn’t a better memory; it’s deciding once, when you read it, and letting something else do the remembering.

What should you do when you read an email that needs a reply?

A reply that buys time

Hi Priya, good question. I need to check with finance first; I’ll come back to you by Thursday. Alex

How do you make Gmail remind you to reply?

  1. Turn on nudges: Settings → See all settings → General → Nudges → “Suggest emails to reply to”. Gmail brings older emails you haven’t answered back to the top.
  2. Snooze (the clock icon) brings an email back at the time you choose, as if it had just arrived.
  3. Star what needs a reply and check Starred at your two set times. With Multiple Inboxes (Settings → Inbox), starred mail can sit in its own section above everything else.

Questions people ask

Can Gmail remind me to reply to an email?

Yes. Turn on “Suggest emails to reply to” in Settings → General → Nudges, and Gmail brings older emails you haven’t answered back to the top of your inbox. To choose the time yourself, snooze the email.

Is it rude to reply to an email late?

A late reply is much better than none. Lead with the answer rather than a long apology: “Sorry for the slow reply. Yes, Monday works.”

What if I keep forgetting even with reminders?

Make the reminder show up where you already look, and make replying easier than remembering. A list that shows only what needs you, with a reply already drafted, asks for much less willpower than an inbox.
