How to manage several Gmail accounts in one place
Updated
Short answer: On the web, add each account from your profile picture (Add account) and switch from the same menu; each keeps its own settings, so many people keep one tab per account. On your phone, the Gmail app's All inboxes shows every account together. Gmail is retiring Gmailify and “Check mail from other accounts”: new setups stopped after early 2026, and existing ones end in January 2027, along with “Send mail as” for non-Google addresses.
One account for work, one for personal mail, maybe one for a side project or a client. Each inbox is manageable on its own; the trouble is checking three of them, three times a day, and remembering which one the important email went to.
On a computer: add and switch
In Gmail on the web, select your profile picture at the top right, then Add account, and sign in. The same menu switches between accounts. Each account keeps its own settings, and the one you signed in to first is usually the default. To watch several at once, keep each in its own browser tab.
On your phone: all inboxes together
In the Gmail app, tap your profile picture, then Add another account. It takes Google accounts and others, such as Outlook, iCloud Mail and Yahoo, up to five addresses in all. Then Menu → All inboxes shows every account's mail in one list. Gmail on the web has no combined inbox; “Multiple Inboxes” in its settings splits one account into sections rather than combining several.
Reply from the right address
Each Gmail account replies as itself, so answer an email in the account it came to. “Send mail as” lets one Gmail account send from another address; it keeps working for your other Gmail addresses and Google Workspace aliases, but for non-Google addresses, like an Outlook or Yahoo one, it ends in January 2027.
What's going away
Gmailify and “Check mail from other accounts” brought a non-Gmail address into your Gmail inbox. Google stopped offering them to new users after the first quarter of 2026, and existing setups keep working until January 2027. In their place, Google suggests forwarding from the other provider, adding the account in the Gmail app, or a one-time import, which brings old mail across but doesn't keep syncing.
Ways to see several accounts
| Where | Combined view | Keeps working | |
|---|---|---|---|
| Account switcher and tabs | Gmail on the web | No, one account at a time | Yes |
| All inboxes | Gmail app on iPhone and Android | Yes | Yes |
| Gmailify and Check mail from other accounts | Gmail on the web | Yes, for other addresses | Until January 2027; not for new setups |
A routine that holds up
Go through every account at the same few times a day rather than whenever one pings. In each, star or label what needs a reply as you see it, and keep one list of what you owe across all of them, so the client email in your side-project account doesn't wait because you only checked work.
Questions people ask
Can I see all my Gmail accounts in one inbox on a computer?
Not in Gmail on the web: it shows one account at a time. The Gmail phone app's All inboxes combines them, and on a computer a mail app that adds each account can.
Is Gmailify going away?
Yes. Gmailify and “Check mail from other accounts” stopped taking new users after the first quarter of 2026, and stop working for everyone in January 2027.
How do I switch Gmail accounts?
On the web, select your profile picture at the top right and choose the account. In the Gmail app, tap your profile picture and pick the account, or use All inboxes to see them together.
